Information We Collect

When you create a Midcove account or use the platform, we collect information you provide directly, such as your name, business name, email address, phone number, and billing details. We also collect information generated as you use the CRM, including transaction records, chargeback case details, fraud filter settings, and login activity. When you connect a merchant account, we collect the gateway credentials and configuration data needed to link your MID from NMI, Authorize.Net, Stripe, or PayPal to your Midcove dashboard.

We automatically collect some technical information whenever you use Midcove, including IP address, browser type, device information, and timestamps of activity within the CRM. This information supports core platform functions such as fraud filters and security logging.

How We Use Information

We use the information we collect to operate the Midcove platform, including processing your requests through your connected gateway, displaying transaction and chargeback data, enforcing fraud filters, and maintaining audit logs. We also use it to provide customer support, send account and billing notifications, improve platform features, and detect and prevent fraudulent or unauthorized activity. We do not use cardholder data for marketing purposes.

Data Sharing & Third-Party Gateways

Midcove is built to work with the merchant account you already have. To process a transaction, we share the necessary payment details with the gateway you have connected, which may include NMI, Authorize.Net, Stripe, or PayPal. Each of these processors maintains its own privacy practices and terms, which govern how they handle the data you route through them. We encourage you to review the privacy policy of any gateway you connect to Midcove.

We may also share limited information with service providers who help us operate the platform, such as hosting, email delivery, and customer support tools, under agreements that limit their use of that information to providing services to Midcove. We do not sell personal information.

Data Security

We use administrative, technical, and physical safeguards designed to protect the information you store in Midcove, including encryption in transit and at rest and role-based access controls that limit who can view or act on sensitive data. No system can guarantee absolute security, and we encourage merchants to use strong, unique passwords and enable any available account protections.

Cookies & Tracking

Midcove uses cookies and similar technologies to keep you signed in, remember your preferences, and understand how the platform and marketing site are used. You can control cookies through your browser settings, though disabling some cookies may affect core functionality such as staying logged in to the CRM.

Your Rights & Choices

Depending on where you are located, you may have rights to access, correct, export, or delete certain personal information we hold about you, and to object to or restrict some processing. You can update most account information directly within Midcove, or contact us using the details below to make a request. We will respond to verified requests within a reasonable timeframe and consistent with applicable law.

Data Retention

We retain account and transaction information for as long as your account is active and for a reasonable period afterward to meet legal, tax, accounting, and dispute-resolution obligations, including recordkeeping expectations that apply to payment data. When information is no longer needed for these purposes, we take steps to delete or anonymize it.

Children's Privacy

Midcove is a business-to-business platform intended for use by merchants, their employees, and authorized representatives. It is not directed to individuals under the age of 18, and we do not knowingly collect personal information from children.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, the platform, or applicable law. We will post the revised policy on this page and update the "Last updated" date above. Material changes may also be communicated directly to account administrators.
